Pipeline risk detection for recruiting firms running Bullhorn
Made in Seattle · Founding partners open
Found while it can still be fixed
We find the fees leaking out of your pipeline before they leave.
The unforced errors: preventable right up until they weren't.
Nobody decides to lose a placement. They lose it to a week nobody was counting. Stallward reads your Bullhorn pipeline every morning and tells the person who can still fix one, while fixing it is still worth doing — three accounts, one action each, not a dashboard you have to remember to open.

offer out, no movement — day 5 of 7

Three ways a fee disappears without anyone deciding to lose it
day 8 of a 7-day window
An offer sits out, unanswered
The single highest-value thing in the pipeline, and the one most often left to a hiring manager's inbox. Every day past your own norm is a day the candidate spends talking to someone else.
day 19 of a 14-day window
A candidate goes quiet and nobody notices
Not a decision, an absence. It shows up as a gap in the activity log, which is exactly the thing no report is built to surface.
40 days past your median
A requisition ages past the point of trust
Your client stops believing you will fill it before you stop trying. The number that matters is not sixty days — it is sixty days against the forty you normally take on that account.
Why the first report is credible instead of generic
your numbers
Every threshold comes from your own history
Your median time to fill, per account. Your typical client response time. Your own stage timings. The report says this search is 40 days past where you normally fill this client, not the industry average is 32 days. Benchmarks are how vendors sound the same as each other.
no model
No AI touches your data
Detection is date arithmetic against those thresholds. No candidate names, no résumés, no note text — there is nothing in the pipeline for a language model to read, and nothing is sent to one. That is a design constraint we chose and can show you.
one action
Ranked by what is genuinely at stake
Not by fee. A large requisition nobody has touched is worth less this morning than a smaller offer sitting unanswered, because one is a maybe and the other is nearly money. Each row carries one action and two buttons, and the buttons teach it.
both views
Recruiters see their desk. Managers see all of them.
The same numbers, not a sanitised version. A manager view with full visibility and no notifications attached — escalation is what gets pushed, this is what can be looked at.
Escalation is a clock, not a broadcast
Every signal lands on one person's list first, with time left to do something about it. Only the things nobody touched move up. Nobody hears about your desk before you do.
Recruiter
Lands on their own list
Top of the 7:00 desk digest, with one action.
Acted on → never escalates
Most items end here. That is the product working.
Manager
Visible, not notified
Escalation list
Only items past the window. Usually two to five.
Still open → carried forward
Firm
Weekly rollup
A coaching item and a pattern, not an incident.
One morning, in full
Three tiers, one screen. Nothing is hidden — the six watch accounts are named, not buried — but only three of them want a decision from you today.

Cleared yesterday — 4
$63,000
Two placements confirmed, two client responses landed.
Every row carries one recommended action and one feedback gesture. The buttons are how the thresholds learn, and they work from the email — no login between the alert and the answer.
No commitment, no account, no card
We will scan your pipeline once, for free
Five CSV exports out of Bullhorn — no candidate names, no contact details, no note text. You get back a written report: every place your pipeline is currently at risk, ranked, with the dollar value and the reason each one was flagged.
The report is yours whether or not we ever work together. Most firms already know most of what is in it, then find two or three they didn't — and the two or three are the point.
Can't pull the exports? We'll walk your pipeline on a screen share instead, so nothing leaves your machine — or wire up read-only credentials later so there's nothing to export at all.
Received
Thanks — Jordan will get back to you within a business day.
Next is a short call to work out which five exports you can pull, and what paperwork you want in place first. Nothing needs to move until then.

Data handling
What we receive, and what happens to it
Written plainly so it can be forwarded to whoever asks the hard questions.
- What you send
- Five CSV exports: job orders, submissions, placements, activity metadata and future appointments. Identifiers, dates, stages, owners and fee values.
- What you never send
- Candidate names, emails, phone numbers, addresses, résumés, note or message text, attachments. Detection needs record IDs and timestamps, not people.
- Is any of it sent to an AI model
- No. Detection is deterministic. No part of your export reaches any language model or third-party AI service.
- Where it is stored
- Encrypted at rest and in transit, in a single private workspace in the United States.
- Who can see it
- Jordan Nilsen only. Not shared, not sold, not used to build or benchmark anything outside your review.
- How long it is kept
- Deleted within 30 days of delivering your report, or immediately on request. Written confirmation either way.
- Paperwork
- Mutual NDA and a data processing agreement available before any file moves. Just ask.
- On Bullhorn's rules
- Bullhorn's API Fair Use Policy restricts connecting third-party AI tools to their API. Our detection is deterministic and reads no free text, which is one reason it was built that way.
What it costs
$1,250per month
Founding partner · price locked for 12 months
The daily list for every desk, the manager view, the monthly report of what was caught and what it was worth — and a say in which signals get built next. We are taking a small number of founding partners and building the catalogue with them, which is the part a larger vendor cannot offer you.
Pilots are run by hand, by us. There is no self-serve signup on purpose: right now the useful thing is a short list of firms we know well, not a long list we don't.
